The City Clerk attends all meetings of the City Council and keeps a full account of its proceedings. The City Clerk's Office is responsible for keeping various official records of the City which includes the City council meeting minutes, ordinances, and resolutions.
The Clerk is the custodian of the city seal and shall affix its impression on all documents whenever this is required.
The Clerk is responsible for posting the weekly City Council agenda. The Final agenda is posted at 2:00 p.m. on the Friday before the next regularly scheduled meeting, which is every Monday at 7:00 p.m. unless a holiday falls on Monday, ensuring public notice is given pursuant to the Open Meetings Act
Deadline for submitting material to the City Clerk's Office for the City Council agenda, including written permission to address the City Council, is 11:00 a.m. on Friday. If Friday is a holiday the agenda will be done on Thursday.
Meeting minutes are available to the public and posted on the City web site after the City Council has approved them.
The Clerk's office maintains an up-to-date copy of the Quincy Municipal Code, which is also located on the city's web site.
The City Clerk is the Ex-Officio Town Clerk and co-signs all Quincy Township checks, payroll and bills.
City Clerk's Office issues various City licenses and issues sport hunting and fishing licenses along with commercial fishing tags for the Illinois Department of Natural Resources.
